Project Preparation

Hayes Strategy works hard to ensure that all elements of the proposed project are feasible and appropriately prepared so that it can be successfully implemented.

Project preparation is critical to ensure the project’s potential risks are managed and controlled, projects are well conceptualized and planned, development is appropriately tailored to local needs, projects are supported by the key stakeholders (including the community, municipality, funders and implementation partners), and the project outcomes and time-frames are clearly established for implementation.

Team Selection

Provide an analysis of the proposing contractors bid packages and develop selection criteria matrix for review. Subsequently meet with stakeholder group to advise on selection of contractor, selection is typically based on elements such as proposed schedule, cost, staffing and value engineering ideas.

Contract Negotiation

Assist Owner in the award of the contract and negotiation of appropriate terms in the General Contracting Agreement with the selected contractor.

Meeting Coordination

Coordinate, attend and conduct project meetings with stakeholders, County team, municipality, and contractors to prepare a project schedule, incorporating construction activities for the landlord, tenants, exhibit installation and tenant move-in.

Schedule Preparation

Assist Owner in the award of the contract and negotiation of appropriate terms in the General Contracting Agreement with the selected contractor.

Budget Review

Review the Master Project Budget with the stakeholder group. Confirm budget includes all costs for the project. Provide budget updates and Commitment reports as project buy-out is completed.

Work with the project team to generate cash flow forecast for the project and update on a regular basis.

Collaborate with the owner account manager to set up chart of accounts for the project.

File Structure Development

Develop file structure for the project, including hard file and electronic file system.
